Customers rarely miss appointments intentionally. Most simply forget or get busy but feel uncomfortable calling to cancel. Every empty time slot is staff time that cannot be sold again. Automatic appointment reminders via Zalo solve both problems: customers are reminded where they are most likely to read messages, and they have a button available to request a schedule change.
Why should you send appointment reminders via Zalo?
- Customers open Zalo every day. Reminders appear alongside messages from family and friends, so they are read more quickly than emails or SMS messages mixed in with promotional content.
- A message with buttons. Customers can tap to confirm, reschedule, or open directions directly in the message without having to make a phone call.
- Sent to the phone number. The reminder is sent to the Zalo account linked to the phone number the customer provided when booking the appointment.
- The business name and logo are clearly displayed. Customers immediately know where the message came from, unlike messages from an unknown number.
Comparing appointment reminder methods
| Automated Zalo messages (ZNS) | Call | SMS | Message via personal Zalo | |
|---|---|---|---|---|
| Who handles it | The system sends it automatically | The receptionist calls each customer | System or staff | Staff sending messages manually |
| The customer confirms or reschedules | Tap the button in the message | Answer immediately when the phone rings | You have to call or message them again | Send a follow-up message and wait for staff to read it |
| The business name is clearly displayed | Yes, with a logo | No | Yes, if using the brand name | Personal account name |
| Keep a record of who has been reminded | Yes, for each appointment | No | Có | No |
| Risk | An approved message template is required in advance | Time-consuming, and customers may not answer the phone | Easily buried among promotional messages | Personal accounts can easily be restricted when sending large numbers of messages |
Calling is still useful for important appointments or customers who often miss appointments. Let automated messages handle the rest so receptionists can spend more time helping customers at the counter.
What are ZNS messages, and what is needed to send them?
ZNS (Zalo Notification Service, now called ZBS by Zalo) is a type of notification message that businesses send to customers' Zalo accounts using their phone numbers for order confirmations, appointment reminders, result notifications, and post-service care. To send appointment reminders, you need four things:
Verified Zalo OA
The message is sent under the business's Official Account name. See What is the difference between Zalo OA and Zalo Mini App?.
Zalo-approved message templates
The message uses a fixed template with fields for the customer's name, time, and service. The template must be approved by Zalo before it can be used.
Customer's phone number
Collect it when the customer books. If they book through the Zalo Mini App, they only need to tap to agree to share their number.
Appointment system to activate
The software knows which appointments are coming up and sends messages at the right time automatically. Without this feature, someone still has to click Send manually.
How do automatic appointment reminders work?
- The customer books an appointmentvia the Mini App or entered by the receptionist on the customer's behalf
- Confirmation messagesend it immediately, clearly stating the time and address
- Remind customers 1 day in advancehas a confirmation or rescheduling button
- A few hours in advancefor services that are easy to forget
- After the appointmentthank you, see you next time
When a customer reschedules through the button in the message, the original time slot becomes available again and another customer can book it immediately. This is where automated reminders help recover revenue, rather than simply preventing customers from forgetting.
When should reminders be sent?
- Spas, salons, and nail salons: one day before and about 2 hours before the appointment. After the service, remind customers to rebook according to the service cycle.
- Clinics and dental practices: one day in advance, along with pre-visit instructions such as fasting and bringing identification documents. Follow-up visit reminders are sent according to the doctor's instructions.
- Auto repair and vehicle maintenance: one day before the appointment. For recurring monthly maintenance, send the reminder based on the date of the most recent service.
- Gyms, yoga studios, and personal trainers: a few hours before the session, because customers often decide whether to attend on the day itself.
- Learning center: one day before the trial lesson; send it to the parent as well if the student is young.
Avoid sending reminders late at night or early in the morning. If the appointment is at 8 a.m., the reminder sent one day in advance should go out the previous afternoon.
Appointment reminder message templates
Text in square brackets is where the system automatically fills in each customer's details. Keep the template short and informative, with one clear action for the customer to take.
Templates for spas and salons
Hello [Customer Name], [Business Name] would like to remind you of your [Service] appointment at [Time] on [Date] with [Staff Name]. Tap Confirm to reserve your spot, or Reschedule if you are unavailable. We look forward to seeing you at [Address].
Template for clinics and dental practices
Hello [Customer Name], [Clinic Name] is reminding you of your [Specialty] appointment at [Time] on [Date]. Please arrive 10 minutes early and bring [Required Documents]. Tap Reschedule if you cannot make it.
Templates for auto repair shops
Hello [Customer Name], [Garage Name] confirms your [Service] appointment for vehicle [License Plate] at [Time] on [Date]. The estimated service duration is [Duration]. Tap Reschedule if you need to change the time.
Template inviting customers to book again after their appointment
Hello [Customer Name], it has been [Number of weeks] weeks since your last [Service] at [Business Name]. Tap Book Now to choose a convenient time this week.
When registering a template with Zalo, each item in square brackets is a parameter. The template should clearly be an appointment-care message; avoid including promotional content in reminders to prevent the template from being rejected.
Common mistakes when sending appointment reminders
- Send reminders without allowing rescheduling. Busy customers may simply go silent and not show up instead of giving advance notice.
- The message is too long. The time, date, and address must be readable within seconds.
- Appointments recorded in a separate notebook are not in the system. Some customers do not receive any reminders, and these are precisely the customers most likely to miss their appointments.
- Sending reminders too often. Two reminders are enough for most services; sending more may cause customers to block your messages.
Cost of appointment reminders via Zalo
The cost consists of three parts: the Zalo OA package fee, the ZNS message fee (Zalo charges for each successfully delivered message, at a few hundred VND per message depending on the template type), and the appointment software fee for automated sending. The first two fees are charged directly by Zalo and may change according to Zalo's policies.
For example, a spa with 600 appointments per month that sends two messages for each appointment—one confirmation and one reminder sent a day in advance—would send 1,200 messages. At a few hundred VND per message, the monthly messaging cost would be several hundred thousand VND, usually less than the value of the few appointments saved.

Frequently asked questions about appointment reminders via Zalo
Do customers need to follow the Zalo OA to receive reminders?
Not required. ZNS messages are sent to the customer's Zalo account using their phone number. However, if customers follow your OA, you have an additional channel for conversations and other content, so it is still a good idea to invite them to follow it.
What if the customer does not use Zalo?
ZNS messages cannot reach phone numbers that are not linked to a Zalo account. For these customers, the receptionist can call or send an SMS. The software indicates which appointments could not receive a message so the receptionist can handle them.
Can appointment reminders be sent automatically from a personal Zalo account?
Some software can schedule messages from personal accounts, but Zalo limits personal accounts from sending large volumes of messages to strangers, and the account may be locked. Customer reminders should be sent through Zalo OA and ZNS.
Can I set it up myself, or do I need to hire someone?
Zalo provides an API that businesses can connect to themselves, but you need a developer to integrate it with your appointment calendar and send messages at the right time. If you do not already have an appointment scheduling system, using software with built-in Zalo reminders will be faster.
How long does it take to start sending reminders?
A verified Official Account and a Zalo-approved message template are required. It is best to prepare the template content at the start of the project so approval can proceed in parallel with building the appointment-booking feature.
